Your sales team is only as good as the data they are working with. Recently, a B2B service provider approached me for CRM Management services because their HubSpot instance had become a nightmare. Here is a look at what we started with, and how I fixed it.
The "Before" Picture
The client's CRM had over 15,000 contacts collected over three years through various trade shows, web forms, and manual SDR imports. The problems were severe:
- Massive Duplication: The same prospects existed 3 or 4 times under slightly different email aliases (e.g., john.doe@company.com vs j.doe@company.com).
- Missing Data: Thousands of contacts lacked basic information like Job Title or Industry, making segmentation impossible.
- High Bounce Rates: Because the data was old, sales reps were experiencing bounce rates above 15% on their email sequences.
The Cleanup Process
I executed a systematic CRM audit and cleanup:
- Deduplication: Using HubSpot's deduplication tools and manual spreadsheet audits, I merged over 3,000 duplicate contact and company records, preserving the historical activity timeline of each.
- Data Enrichment: I exported the incomplete contacts and ran them through Apollo and ZoomInfo to enrich missing fields like Job Title, LinkedIn URL, and Company Size.
- Email Verification: I ran the entire database through NeverBounce. We completely purged 2,500 "hard bounce" emails that were dragging down the client's sender reputation.
The "After" Picture
The final CRM contained 9,500 fully verified, deduplicated, and enriched contacts. The sales team could now confidently filter lists by "Industry" and "Job Title" knowing the data was accurate. More importantly, their email bounce rate dropped to near 0%, protecting their domain reputation and dramatically increasing their deliverability.
