Apollo vs LinkedIn Sales Navigator: Which to Use When?

August 19, 2026

When clients ask me to build a B2B lead list, they often ask what tools I use. Two of the most powerful tools in my tech stack are Apollo.io and LinkedIn Sales Navigator. But they serve very different purposes. Here is a breakdown of when to use which.

LinkedIn Sales Navigator: The Identity Layer

LinkedIn is the largest professional database on earth, updated in real-time by the users themselves. If you need to know exactly who holds the "Director of Demand Generation" title at a specific 500-person company today, Sales Navigator is the most accurate place to look.

  • Pros: Unmatched accuracy for job titles, company changes, and organizational structure mapping.
  • Cons: It does not provide email addresses or phone numbers. It's an identity tool, not a contact tool. You have to rely on InMails, which have low response rates.

Apollo.io: The Contact and Outreach Layer

Apollo is a massive database of B2B contact information layered with an email sequencing tool. It allows you to search for companies by technographics (e.g., "uses Shopify") and instantly pull the verified emails of the decision-makers.

  • Pros: Provides direct emails and phone numbers. Built-in email sequencing makes it a one-stop-shop for SDR outreach.
  • Cons: The job title data can sometimes be stale. A person may have left the company 3 months ago, but Apollo hasn't updated the record yet.

The Perfect Workflow

The best SDRs don't choose between them—they use them together. Use Sales Navigator to accurately identify the right decision-maker. Then, plug that person's name and company into Apollo (or use a Chrome extension like ContactOut) to extract their verified email address and phone number.
